New Features in Version 11.4f & 12.0c (April 2008)

  • New counters inserted for number of company contacts and task pop-up's.

New Features in Version 11.4g & 12.0d (January 2009)

  • A new option will enable you to choose between one placement per session or multiple placements as your default preference. If you set the Main Menu > Setup > Display Defaults, Placements toggle to multiple placements you will have the option to automatically retain the student on the list of those requiring a placement. Use this default if you require multiple placements in a single session. After each new placement is added the placement number is automatically increased by one - you can reset the placement number to one at the start of each session via a new "Placement" button in the New Session "roll-over" Options.
  • New company, student and placement "Task" reports have been added with additional more comprehensive selection criteria, including the actual task, whether made, and date between criteria.
  • Updated help and addition of FinDonIT logo (see below for details).

Developments for 2009

  • January 2009 marks the 20th Anniversary of the establishment of PineSoft and a number of significant events are planned.
  • A new company FinDonIT with trademark is being launched in 2009 to establish a more unique identity and to underpin future developments. (Named after Louise Finlayson & Stuart Donald the two main directors). The new company will incorporate both PineSoft and PineSoft WebDesign as well as new Bespoke Software options. Our new website will be www.FinDonIT.com
  • The PineSoft name is so well established within the education sector, our placement management software will continue to be known as the "PineSoft Professional Training Database". Existing contact details and payments direct to our "PineSoft" account will be retained for continuity and PineSoft will continue to be protected as a registered trademark. New contact options such as pinesoft@FinDonIT.com will be introduced. For continuity the original pinesoft.net domain will be retained by the new company and existing email addresses and website links will remain valid (e.g. s.donald@pinesoft.net, www.pinesoft.net etc.)
  • An Enterprise version of PineSoft based on an Access 2007 front-end and an SQL Server back-end is under testing. This will incorporate a web based module for searching jobs online with password protected direct access for students.

New Features in Version 11.4d (August 2007)

  • A new Placement Summary report has been added which includes the student ID / Ref field as well as the student name and the full company address (second option in Placement Report List).
  • Re-insert Applications - totals report.

Developments

  • A new version of PineSoft which uses Access 2007 is available. Presently users would need to have their own copy of Access 2007 on their PC to use this version and their existing data file would need to be updated. Please let me know when your university makes the switch. A demonstration of the exciting new features in the Access 2007 version will be made available on the PineSoft website in the near future. The initial release of Office 2007 is not without its bugs - Service Pack 1 released by Microsoft in December 2007 has fixed some of these, so make sure you install it. I would recommend that customers stick with the existing version which uses an Access 2002 runtime, at the moment, however, PineSoft has been using and testing a version based on Access 2007 for over a year and with some universities switching to Office 2007 it does seem likely that the switch from PineSoft (XP) to PineSoft (2007) will start in 2008.
  • An Enterprise version of PineSoft based on an Access 2007 front-end and an SQL Server back-end is also under investigation.
  • The PineSoft website will have the latest details about new developments and updated video tutorials early in 2008.

New Features in Version 11.4b (November 2006)

  • The Report and Mail Output Dialog forms now incorporate Tabs to group items together and facilitate easier selection. The new Report form is shown below.
  • The Setup submenu form has been re-designed to cope with the growing number of user definable fields.

New Features in Version 11.4c (July 2007)

  • A new Placement Summary report has been added which includes the student ID / Ref field as well as the student name. (First option in Placement Report List)
  • PineSoft Filter by Form options have been modified to ensure that records remain in alphabetical order.

PineSoft Newsletter : February 2006

Software Update

Summer 2005 saw the launch of XP version 11 of PineSoft and this will be rolled out to all customers during 2006. Customers data files will require to be updated to the new format and this will be undertaken free of charge as I am anxious for users to benefit from the new features.

New Features in Version 11

A number of significant new features have been added to the application and include :

  • auto scaling forms to adjust to different screen resolutions. (Previous Centred window display is still available as a User-definable option)
  • extension of the existing Company, Student and Placement Tasks pop-ups to incorporate an unlimited number of user defined hyperlinks. This will make it easy to provide direct links from within the PineSoft application to existing reports, documents, CV’s, images etc.
  • an all new “Jobs” module which will enable users to record comprehensive details of vacancies as shown below (Job Classification Criteria Flags are User-defined to facilitate the matching of job vacancies to student preferences). It is recommended that new Jobs are added via the pop-up in Company forms, the only essential field to be entered is a unique Job Reference, the Company & Location fields are linked automatically as are default Job Title “Student Placement” and Vacancies “1”. Users who are happy with the status quo and apprehensive about the new Jobs Module do not need to enter any other information if they don’t want to.
  • the number of student applications, current placements and jobs/vacancies is displayed automatically below the relevant PineSoft buttons in Company and Student forms so users will know whether pop-ups contain any records. (A very useful new feature)
  • when exporting to a file for use in Word Mail Merge documents users can now choose between a (.xls) Excel file or a (.txt) Text File. Microsoft appears to have fixed the previous problem where unmatched quotes caused problems with imported fields, so I would recommend using the Text format. The problem of UK dates from Access & Excel being converted to US format in Word remains – another reason to use Text files as the data source in Word Mail Merge! The latest PineSoft Help file includes details about how to change the format of merged dates in Word, to suit your requirements.
  • a sixth user definable flag has been added to Company records and one of the two information fields in Placement records has been converted to a Memo field.
  • reports have been updated to incorporate the new structure and new “Jobs” reports added. One user plans to output the “Jobs - Full” report in Adobe pdf format to enable students to browse through available vacancies and match their requirements via the user-definable Job Classification Criteria flags.

Extended Features in Version 11.3b

  • The Jobs module now automatically records the date a Job is Posted on the system, has a toggle flag to record whether Online applications are required, as well as Finish Date and Job Summary fields. Relevant details are automatically inserted from the Jobs record when a new placement is created. Perhaps the most significant change is the addition of two User-definable look-up’s, initially defined with prompts “Job Sector” and “Job Type”. Users may define an unlimited number of entries for these fields to give significantly increased flexibility when matching jobs to students. A new “Compact” Jobs report has also been added following a request from a customer.
  • All PineSoft printed output now uses Arial fonts in line with current recommended good practice.

Current & Future Software

January 2004 saw the launch of the XP version of PineSoft and this has now been rolled out to all customers. Spring/Summer 2005 should see the next significant upgrade.

New Developments

The PineSoft team are currently working on a number of new enhancements to the software to help meet the aspirations of existing and potential users. Extensive testing is currently being undertaken and at the moment proposed changes for the next version include :

  • auto scaling forms to adjust to different screen resolutions.
  • extension of the existing Company, Student and Placement Tasks pop-ups to incorporate an unlimited number of user defined hyperlinks. This will make it easy to provide direct links from within the PineSoft application to existing reports, documents, CV’s, images etc.

New version for 2004

January 2004 sees the launch of a revised version of PineSoft based on Microsoft Office XP components. The look and feel of the application has been retained and this move will bring the application in line with universities using Office 2000 or Office XP. {The existing version, using Access 97 can still be supplied should it prove to be more compatible with particular university networks.} Customers (pinedat.mdb) data files are still compatible with ALL PineSoft versions so will not need updating at this upgrade. The PineSoft application remains fully compatible with Windows 95, 98, ME, NT, 2000 and XP.

Changes to look out for

  • the “Export List” option now uses Excel format for Word Merge files, as the default column arrangement is a better format for use in Mail Merge, rather than the previous .doc or .txt files.
  • a new copy button on the Main Student form makes it a one click option to copy term address details to home address fields (useful if these are the same).
  • revised on-line help

PineSoft Director Top Student at Aberdeen University

I am pleased to report that Mrs Louise Finlayson has recently been awarded an MSc with distinction in Information Technology from Aberdeen University. Louise will be involved in future product developments.

Move to Version 3.1 now complete

During the last twelve months all PineSoft Users have upgraded to the latest version 3.1 of the application. A full history of all the improvements added to the Windows application, since its launch in 1995, are listed in the README file on PineSoft CD’s.  Fuller details of these additions may be found in the PineSoft Newsletter section of the PineSoft website at  www.pinesoft.net 

The feedback from users over the last twelve months, regarding the latest version 3.1 has been very positive and there are no plans for any imminent major changes. However, as always, any suggestions for improvements or additions to the software are welcome.

The PineSoft application is supplied with all necessary software including a runtime copy of Access 97 and will co-exist with universities using Office 97, 2000 or XP. It is fully compatible with Windows 95, 98, ME, NT, 2000 and XP.

The next significant change is likely to involve a move to use Access 2000 or Access 2002 as more Universities migrate to Windows 2000 or Windows XP platforms, however, the look and feel of the application is not likely to change.

Using PineSoft via a Full Version of Access 97 or Access 2000

Please follow the instructions in the file,   Access_Full.txt  (on the PineSoft CD) should you wish to run PineSoft via a full copy of Access 97 or 2000 (already installed on a PC). This should only be necessary if the standard PineSoft installation fails or conflicts with any other installed software. As PineSoft uses industry standard Microsoft Office components any installation problems are fortunately very rare!

Move to 32 bit format now complete

During the last twelve months all PineSoft Users have upgraded to the latest 32 bit file format, so there will be no need to update users PineSoft data file when moving to version 3.1. 

New Version 3.1 for 2002

January 2002 sees the launch of a revised 32 bit version which incorporates some minor modifications, as listed below. 

  • The application has been tested and is fully compatible with Windows XP Professional and all other windows versions from 95.
  • Changes have been made to the shades of grey used in PineSoft forms as the displayed colours using “Windows XP style” vary from the “Windows Classic style”.

Use the Display Properties Windows and Buttons command to change the display mode to suit your particular preferences.

  • The PineSoft on-line help files have been updated to XP compatible format.

The feedback from users over the last twelve months, regarding the current version 3.0 has been very positive and there are no plans for any imminent major changes. However, as always any suggestions for improvements or additions to the software are welcome. Millennium Edition : 32 bit (Time to Upgrade?)

With the increased specification of PC’s in use by Placement Staff I believe that the time has come to move all users to the 32 bit version.

The Millennium Edition has been available as a 16 bit application which supports all Windows versions, 3.1 to NT, or a 32 bit version for Windows 95 or above. The versions are almost identical and share the same Millennium Edition User Manual. A 486 PC with 8MB of RAM under Windows 3.1 is sufficient to run the 16 bit version, whereas a Pentium PC with 32MB of RAM is required for the 32 bit version.

I propose to supply all new customers and existing customer renewals with the 32 bit application on a CD. The PineSoft CD also contains a copy of the latest PineSoft User Manual, in Adobe Acrobat format.

The additional features in the 32 bit version include a spell checker, the display of Help Text when you pass over PineSoft buttons with your mouse, an improved attachment manager for Network users and the ability to control the default "edit or read-only" behaviour of database forms. The 32 bit version also has direct E-mail and appointment links to Microsoft Outlook – users need to have Microsoft Outlook installed on their PC to make use of this feature.

New Version 3 for 2001

January 2001 sees the launch of a revised 32 bit version which incorporates many improvements as detailed below. Users data files (pinedat.mdb) will need to be updated to take advantage of the new features.

General Overview

  • Student code and name fields increased from (20 & 24) to 30 characters
  • Forms re-designed for optimum use with minimum SVGA 800 x 600 Screen resolutions
  • Link fields automatically locked to prevent users inadvertently changing correctly linked details
  • New E-mail and Website fields wide enough to cope with large addresses! Existing User-definable fields increased in width
  • New Toggle fields to make it easier for users to select required sets of data. For example, which companies are present or past employers, which currently have vacancies etc.
  • Find Drop-down fields cleared after search as in previous 16 bit version

Company Database

  • Address fields increased in width from 40 to 50 characters
  • New E-mail and Website fields (50 characters), plus new Report
  • New toggle fields for current employer and current vacancy
  • Five New User-definable Toggle fields

Student Database

  • New E-mail and Mobile fields (50 & 40 character)
  • Student ref number field changed to cope with leading zeros such as 00346758
  • Five New User-definable Toggle fields

Placement Database

  • New Status and E-mail fields for Supervisor and New E-mail and Telephone fields for the student on placement
  • Automatic display of cumulative Training Duration for a number of placements, with a new report to list Total Training durations.

Applications Database

  • Three New "optional" toggle fields to keep track of application forms etc handed to students, whether they are returned to the Placement Office and whether forwarded to prospective employers. Two modified reports to list Applications and the new fields (issue log), ordered by company or student.

Company Contacts Database

  • New E-mail field added

Letters & Memos Databases

  • New optional Centred Header field in Bold Italics added to PineSoft letters and memos

The Adobe Acrobat pdf format is proving an increasingly popular method for distributing documents as they are easy to browse electronically or print should a hard copy be required. To view such files you require the Adobe Acrobat Reader which may be downloaded free of charge from Adobe’s site at www.adobe.com See the PineSoft download page for details of available documents and please let me have any requests for additional documentation which you may find helpful. Version 2.3c (Note : Version 3 incorporates these changes plus those listed earlier)

Version 2.3c launched in August 200 incorporated a number of minor revisions to the software following feedback from customers, with two new compact reports which list :

Student, Company, Location, Visiting Tutor, Course, Session, Year Placement, Supervisor, Start and Finish dates.

They are :

Placement : Summary (All Courses)

Placement : Summary Ordered by Start Date (All Courses)

The "Export Placement Data for Word Merge" option was updated to include all placement, company and student fields, to give users greater flexibility when creating Customised Mail Merge reports.

 

Recent Queries from Customers (Note : all these issues are resolved in Version 3)

Query 1 : Student name field too short?

The actual student name fields are 4 characters longer than the Student Code field entered using the SURNAME_FORENAME format. You may enter these extra characters manually.

Query 2 : Student reference number does not accept leading zeros.

The Student reference number field is defined as a number, so entering 00453678, for example, displays and prints as 453678. To resolve this problem I would need to change the field to a text field in users pinedat database files. I have noted the point for the next upgrade of users data files.

Query 3 : "Find" drop-down list doesn’t clear

One difference in the 32 bit version which takes getting used to is the behaviour of the "Find" drop-down lists. These always display, the last record searched for, which is often different from the displayed Current Record.

Millennium Edition (July 1999 V2.3b update)

Automatic display of Training duration calculated from Start and Finish fields in Student Placement Forms. Use PineSoft Filter by Form option in Main Placement form to easily check for any shortfalls.

Microsoft update patches applied to 16 bit and 32 bit versions - all versions now interpret 2 digit years from 00 to 29 as 2000 to 2029. 30 to 99 interpreted as 1930 to 1999.

Millennium Edition (March 1999 V2.3a)

Versions 2.2/2.3 represent a significant upgrade to the application as detailed below. Due to the new fields added to the database existing users of the application need to have their "pinedat.mdb" data file updated by PineSoft.

The Millennium Edition is available as a 16 bit application which supports all Windows versions, 3.1 to NT, or a 32 bit version for Windows 95 or above. The versions are almost identical and share the same Millennium Edition User Manual, however, the 16 bit version is one third the size of the 32 bit version and runs faster on all PC's. A 486 PC with 8MB of RAM under Windows 3.1 is sufficient to run the 16 bit version, whereas a Pentium PC with 32MB of RAM is required for the 32 bit version.

The additional features in the 32 bit version include a spell checker, the display of Help Text when you pass over PineSoft buttons with your mouse, an improved attachment manager for Network users and the ability to control the default "edit or read-only" behaviour of database forms. The 32 bit version also has direct E-mail and appointment links to Microsoft Outlook - users need to have Outlook 97 or 98 installed on their PC to make use of this feature. In the medium term I propose to keep to 16 bit versions of users data tables as this will enable their use with either 16 bit or 32 bit application software.

In the short term I expect most users to stick with the 16 bit version which will continue to be supplied on floppy disks. Users with the necessary hardware may like to try the 32 bit version on their University Networks. The 32 bit version will be supplied on a CD. Alternatively, as users data file (pinedat.mdb) will require updating you could return it to PineSoft on a 100MB Zip Disk, and I will return your updated data file, 16 bit and 32 bit versions on the Zip disk.

(1) Revised Screen Display

A "classic grey" screen display has been implemented in the 16 bit and 32 bit versions of the Millennium Edition. A 16 bit (64,000) colour depth is required for the intended smooth grey shading of database forms. SVGA 800 x 600 or higher screen resolution is recommended. A new set-up option enables users to define the default screen behaviour to display forms in centred windows or full screen.

(2) New "Task" Pop-up's

Three new "Task" Pop-up forms added for Company, Student and Placement records. These enable users to define their own tasks, such as the return of Reports, Placement Visits, Student Projects, Company Consultancies etc. and to record task completion with date and comment options.

(3) Integrated Use of Placement : Required and Placed Fields

Users will need to set the "required" flag in the student records of all students requiring a placement. Only flagged students will appear in the student drop-down list in the applications pop-up or Placement Add options. In the Applications Pop-up's you may record whether an offer is made and whether it is accepted by the student. When you "place" a student via the "Add new placement" options, the required flag will automatically be turned off and the placed flag turned on. As students are placed the required list will decrease (hopefully to zero) and the placed list will increase. Use the PineSoft Filter by Form option to check on the current position or use the new Student : Placements Required/Placed report for a hard copy.

(4) New Student Pop-up in Company Form

While browsing through company records you may, if required, display a student pop-up form to check on pertinent student details, without having to navigate via the Main Menu. This student pop-up may be minimised to the task bar if necessary.

Latest Developments : Completed Summer 1998

The implementing a number of new additions to the application, many in response to Customer Requests, is now complete. New toggle yes/no fields, make it easier to answer questions such as :

  • How many applications, job offers, acceptances have been made to date
  • Which students are placed / still require a placement
  • Which companies have responded in a user defined time period 
  • Are the Health & Safety requirements satisfied 

New Features (Version 2.2b - available October 1998)

(1) Applications Pop-up Form

A new "Toggle" Placed field and a 20 character "info" field to distinguish between different vacancies at the same company, or other details etc. All Yes/No fields activated by single click toggle. It is now easy to filter out applications where offers have been made, whether or not the offer has been accepted etc. Reports updated appropriately.

(2) Main Company Database

A new date field labelled "last response". This makes it easy to filter companies with last responses after a user specified date, or between specified dates etc. New Health & Safety fields - see below.

(3) Main Student Database : New Yes/No Fields for Placement : Required and Placed

These new one click toggle fields make it easy to determine students currently requiring a placement, those placed, still unplaced etc. New Placement : Required / Placed Report. New Health & Safety fields - see below.

(4) Nine new Mail Reports

These new mail output reports, all refer to the latest student placement details (if a student has had a number of placements the latest will be selected automatically). Letters, labels and envelopes may be created for the Supervisor, Student c/o Supervisor, or to the Student (only) at the company address.

(5) An extra Flag field for Student Placement Records

This enables students who may have left a company to be filtered out, so that they may be omitted when a letter is sent to all current placement students. . New Health & Safety field - see below.

(6) Health & Safety

Health & Safety requirements, as detailed in the Health and Safety Guidance for the Placement of HE Students publication, relate to 3 database tables. The company database has a new certified toggle field and date field. These will make it possible to check which companies satisfy H&S requirements. If you decide to update company H&S certification after a given time period, the date field makes it easy to filter appropriate records. The student database has two new toggle fields to record whether the student has been briefed and whether he/she has received their information pack. I don't think the date of these events is relevant so have not allocated date fields. The final toggle field for H&S authority is in the appropriate student placement record. Again I don't think a date field is needed, what I believe is important to know, is whether a student has been briefed, had the information pack and has been given authority to start the placement. For convenience all appropriate H&S details may be viewed in a new H&S form and output from two new H&S reports.

(7) New and Modified Visiting Tutor Reports

These reports make it easy to see which visiting tutors are still to make their placement visits.

The display of User definable prompts; linked company addresses in Student Placement Pop-up forms and the Main Menu Placement form is virtually instantaneous even on a modest PC, a significant speed improvement over earlier versions.

The User Interface has been revised with the use of Centred Forms more suitable for users using SVGA displays with resolutions of 800 x 600 or higher. The application will still operate effectively at standard VGA resolution, however, the full screen displays used to display the Main Database Forms will show more detail at higher resolutions, especially in datasheet view. The Report Preview is also displayed full screen to make the best use of higher resolution screen displays.

I believe that the new configuration provides a good balance between the needs of Users with SVGA displays while maintaining backwards compatibility for those with VGA displays.

PineSoft Copy Record Button modified to automatically append a * character to the copied code field. Code modifications to enable users to immediately enter company contact details via the Pop-up form in a new main record. {previously a new main record had to be saved first, before using the Pop-up forms.}

New high speed entry of student name details in student records. Enter a student code using the format SURNAME_FORENAME to automatically complete the entries for the surname,fname, mailname and title fields. The code to accomplish this is activated by the "under-score" character between the surname and firstname.

See the README.TXT file supplied with the application for the latest improvements/additions. For example, 13 new reports added in V2.0d including student photographs at 16 per page and a number of company & student lists with user-definable option and custom fields.

Year 2000 compliant with Pop-up calendar for entering dates { auto 4 digit year from 2000 }.

New Filter by Form option makes the selection of sub-groups of records an easy point and click procedure - you'll wonder how you managed without it! You could, for example, use one of the six User-definable Student fields to enter "UCAS Points" for students. Click on the "Filter by Form" button, enter >"20" in the newly defined "UCAS Points" field and click on the "Apply Filter" button to select all students with more than 20 points. It really is that easy.

Many other subtle improvements, like the use of drop-down lists for all "year / placement" fields.

New cut & paste import / export options and Change Password dialog.

Multiple student applications by a given student to the same company on different dates now allowed, with default application date of "today" to speed data entry. {Requires an update of existing users pinedat.mdb file}.

Additional "Visiting Tutor" Edit option in the Network Version to enable Visiting Tutors to update details pertaining to the students they visit. This self contained module is designed for remote update of placement details only, and does not give access to the full application.

Laser Label Tip

You can easily make use of partially used laser label sheets and start printing at any label position using the following simple technique.

Define "blank" company records with codes ABLANK1, ABLANK2, . . .. . . . . . ABLANK7 and no other field entries - this will position these records together at the beginning of your company records.

When using the Mail - Label print option simply select the required number of "blank" records to effectively skip printing these labels, before your first required company record.
